Communicating with Your Host
Great communication makes for a great stay.
One of the biggest differences between a hotel and a vacation rental is how guests and hosts communicate.
At Connecting Rentals, we believe that respectful, timely, and thoughtful communication leads to better experiences, faster resolutions, and stronger relationships between guests and hosts.
Whether you're staying for a weekend getaway, a seasonal rental, or an extended stay, communication is a shared responsibility.
Vacation Rentals Are Different From Hotels
Hotels are designed around a traditional hospitality model. Most hotels have employees working around the clock whose primary responsibility is to answer questions, respond to requests, and assist guests at any hour of the day or night.
Vacation rentals are different.
Behind every Connecting Rentals property is a real person.
Your host may be an individual homeowner, a family, or a small property management company. While some professionally managed properties offer extended support hours, many hosts also have careers, children, families, volunteer commitments, community responsibilities, and personal lives outside of hosting.
At any given moment, your host could be:
- At work.
- Sleeping after a long day.
- Attending a child's graduation.
- Visiting a loved one in the hospital or nursing home.
- Celebrating a family milestone.
- Coaching a youth sports team.
- Running a marathon.
- Traveling.
- Spending time with family.
Providing a wonderful place to stay does not mean a host is available every minute of every day.
Understanding this difference helps create realistic expectations and a better experience for everyone.
Respect Your Host's Time
Your host wants you to enjoy your stay and is committed to helping when you need assistance.
Whenever reasonably possible, please communicate during normal daytime hours and reserve late-night, early-morning, weekend, and holiday communications for situations that genuinely require immediate attention.
Being considerate of your host's personal time allows them to provide better service while maintaining a healthy balance between hosting and their personal responsibilities.
Contact Your Host Immediately If...
Some situations simply cannot wait.
Please contact your host as soon as possible if:
- You cannot access the property after check-in.
- There is no heat during cold weather.
- There is no running water.
- A gas odor, fire, smoke, or electrical hazard is present.
- Active flooding or a major plumbing failure occurs.
- A significant safety or security concern exists.
- The property has become unsafe or uninhabitable.
- Any emergency threatens people or property.
If there is an immediate threat to life, health, or safety, contact local emergency services first.
These Questions Can Usually Wait Until Business Hours
Not every question requires an immediate response.
Whenever possible, wait until reasonable daytime hours for matters such as:
- Television or streaming assistance.
- Wi-Fi questions when the information is already provided.
- Restaurant or local attraction recommendations.
- Requests for additional towels or supplies that are not urgently needed.
- Minor maintenance concerns that do not affect safety or habitability.
- General questions about your reservation or the property.
Most hosts will gladly help—they simply ask for the same courtesy and consideration that anyone would appreciate in their personal lives.
Report Problems Promptly
If you discover a problem during your stay, notify your host as soon as reasonably possible.
Prompt communication allows issues to be investigated, repairs to be scheduled, and solutions to be offered while you're still at the property.
Connecting Rentals will not process refunds for problems reported after checkout.
Give Your Host a Reasonable Opportunity to Help
Most issues can be resolved quickly when hosts are given the opportunity.
Before assuming the worst or leaving a negative review, allow your host a reasonable chance to understand the situation and work toward a solution.
Good communication benefits everyone.
Communicate With Courtesy
We expect both guests and hosts to communicate professionally and respectfully.
This includes:
- Being honest and accurate.
- Remaining courteous, even during disagreements.
- Avoiding abusive, threatening, or harassing language.
- Responding when additional information is reasonably requested.
- Working together in good faith to resolve concerns.
Respectful communication doesn't require everyone to agree—it requires everyone to treat each other with dignity.
A Shared Responsibility
Great stays don't happen because guests or hosts do everything perfectly.
They happen because people communicate well.
Guests who ask thoughtful questions, report issues promptly, and respect their host's time make hosting easier.
Hosts who communicate clearly, respond professionally, and make reasonable efforts to resolve concerns create memorable guest experiences.
